Practical Tests During the Demo
Ask to create a fictional patient and appointment, then edit and find it again. Observe the reception and doctor views, and ask about cancellations and nonattendance. If messaging matters, request an explanation of activation, limits, costs and what happens when delivery fails.
Next review the patient file, visit record and invoice. Ask to demonstrate a partial payment and the outstanding balance. The aim is to understand workflow connections and required information, not to enter real diagnoses or private patient records.
Questions That Need Clear Answers
Which data can be imported or exported, and in what format? Who can edit sensitive records? What limits apply to users, doctors and messages? How is support requested and when is it available? Ask for practical or written clarification rather than relying on the word 'complete'.
Review current pricing, billing frequency, extra setup, migration or messaging charges, and published cancellation and refund terms. Do not assume a particular regulatory compliance status or accounting integration without checking its scope and relevance.
Compare Results After the Demo
For each task, record whether it was demonstrated, the steps required and anything needing extra setup. Prioritize daily tasks, record privacy and your team's ability to use the system. No single score makes a product best for every specialty and clinic size.
